Ask a busy owner where their enquiries are and you will get a familiar answer: "On my phone." Some in WhatsApp, some in Instagram DMs, a few in an email inbox someone checks on Sundays, and the walk-in who left a number on a Post-it.

It works — until it doesn't. A lead messages at 9pm on a Thursday. You see it, mean to reply, and Friday happens. By Sunday they have booked someone who answered in ten minutes.

The ceiling

When every enquiry passes through one person, three things are true:

  • Nothing is searchable. "Did that villa client from June ever come back?" becomes a scroll through months of chats.
  • Nothing can be delegated. A new hire cannot help with leads they cannot see.
  • Nothing is measured. You do not know how many enquiries came in last month, so you cannot tell whether marketing is working.

That is why "I need more marketing" is often the wrong diagnosis. More enquiries into a leaky system just leaks faster.

Build this first

Not a big CRM. One place where every enquiry lands, whoever it came from and whichever channel it used:

  1. A single inbox. WhatsApp Business (not personal WhatsApp), Instagram, the website form and email all forwarding into one shared view that more than one person can open.
  2. An automatic first reply. "Thanks — got your message, I'll reply within the hour" keeps a lead warm for the hours until a human can respond. It is the cheapest conversion improvement available.
  3. Three columns. New, Replied, Won or Lost. That is the whole pipeline. Nothing more until this is a habit.
  4. A weekly count. Enquiries in, enquiries won. Two numbers, every Sunday. Now marketing has a scoreboard.

Then, and only then, automate

Once every enquiry lands in one place, automation becomes possible and cheap: reminders for quotes that have gone quiet, a follow-up three days after a job, an AI assistant that answers the same ten questions so your team only handles the ones that matter. Every one of those bolts onto the single inbox. None of them work without it.
